Employee Management
From the employees tab you are able to see a list of all employees, an automatic roll call, all listed departments, position and benefits logged on the system.
You can also change information by clicking on the name of the employee, department, position, or benefit as required.
Adding A New Employee
Click ‘+ New Employee’ button. Fill in their title, first name, last name and email address. The email address will be the address they use to log into the system.
Choose the permissions available to this employee. For a full list of permissions, please see below.
Click ‘Save’. This will automatically load the new employee’s ‘details’ screen.
Accessing An Employee's Absence Records
To access an employee's absence records, click on the ‘employee’ icon on the left of the screen, and select the correct employee. Above the employee’s name, select ‘Absence’. All absence requests, including ones currently pending, will be visible.
Permissions List
A user is able to have the following permissions:
- All Permissions: Allows the user to view and change everything on the company's account.
- Modify account and settings: Allows the user to modify the main account settings, view the billing information and invoices.
- View Organisations: Allows the user to view the information for any different sites on the main account, including their addresses and telephone numbers.
- Modify Organisations: Allows the user to modify the information for different sites, including adding or deleting sites, and editing details of existing sites.
- Switch Between Organisations: Allows the user to view information for employees working in other sites by selecting different sites in the drop box at the top right.
- View Employees: Allows the user to view a complete list of all employees, including all employee details and ICE information.
- View Employee Roll Call: Allows the user to view who is currently on shift in their organisation.
- Modify Employees: Allows the user to modify the employee information for the organisation, including adding and deleting employees, editing their information, working hours and benefits, and viewing their calendar and absences.
- View Departments: Allows the user to view the different departments in the organisation, and the number of employees in each department.
- Modify Departments: Allows the user to add new departments, or edit/delete existing ones.
- View Positions: Allows the user to view the different positions that employees hold in the company.
- Modify Positions: Allows the user to add new positions, or edit/delete existing ones.
- View Benefits: Allows the user to view employee benefits.
- Modify Benefits: Allows the user to add or edit employee benefits.
- View Global Calendar: Allows the user to view the calendar for the whole site.
- Global Calendar: View Absences: Allows the user to view the global calendar for absences (e.g. Sickness) only.
- Global Calendar: View Holidays: Allows the user to view the global calendar for holidays only.
- Global Calendar: View Work Anniversaries: Allows the user to view the global calendar for work anniversaries only.
- Global Calendar: View Birthdays: Allows the user to view the global calendar for birthdays only.
- View Organisation Chart: Allows user to view the organisation chart for that site.
Assigning an Employee to a Different Organisation
Select the required employee and click on the blue ‘edit’ in the top right corner of the box entitled ‘User Details’.
Click on the dropdown under ‘Organisation’ and select the correct site. For instructions on adding new sites/organisations, see our Organisations help page.
Changing Another User's Email Address
Select the required employee. Click on the blue edit in the corner of the box entitled ‘User Details’ and amend the email address as required.
Changing Another User's Password
Select the correct employee. In the ‘User Details’ box, click ‘Change’ next to ‘Password’, and insert a new password.
To invite a user to change their own password, select the green 'Actions' button at the top of the page, and choose 'Send Password Reset'. The user will then receive an email asking them to reset their password.
